Privacy Policy
This Privacy Policy explains what personal information AKEM Healing collects, why, how it is used, who it is shared with, and what rights you have. Akem Advisory LLC, trading as AKEM Healing, is the data controller. Contact: Sam@akemhealing.com.
The short version. We collect what is needed to book you in, take payment, run your session and keep a record that you signed the client agreement. We do not sell your data, we do not share what you tell us in a session, and we do not use your story in marketing without your written permission.
1. What we collect
Information you give us
- Booking details: name, email address, phone number, timezone and chosen session time.
- Signed agreement record: your full name, email address, your drawn signature image, the version number of the agreement, and the date and time of signing, together with the browser and device information sent automatically with that submission.
- Intake information: what you tell us about your circumstances, goals and anything relevant to your safety.
- Session content: notes about what was discussed or observed, and any written debrief.
- Correspondence: emails and messages you send us.
Information collected automatically
- Standard server log data from our host, including IP address, browser type, referring page and time of request, used for security and to keep the site running.
- Data collected by our booking and payment providers under their own policies.
What we never collect
We do not receive or store your full payment card details. Card data goes directly to the payment provider.
2. Why we use it and the legal basis
- To deliver the service you booked — performance of a contract.
- To take payment and issue receipts — performance of a contract and legal obligation.
- To keep a record that you consented — legitimate interest in being able to evidence informed consent, and legal obligation where applicable.
- To send confirmations and reminders — performance of a contract.
- To keep the site secure and functioning — legitimate interest.
- To send marketing — only with your consent, which you can withdraw at any time.
Health-related information you share is treated as sensitive. Where the law requires a specific basis for handling it, that basis is your explicit consent, given when you sign the client agreement and complete intake.
3. Confidentiality of session content
What you share in a session and at intake is confidential. It is not sold, and it is not disclosed to anyone except: with your written permission; to our service providers strictly as needed to run the booking; where required by law or legal process; or where disclosure is necessary to prevent a serious and imminent risk of harm to you or another person.
An honest note on privilege. Samuel is not a licensed clinician, so no legal clinical or therapeutic privilege applies to these communications. They do not carry the legal protection that communications with a licensed therapist, doctor or lawyer would carry.
Your experience is never used in marketing, on social media, in a case study or in any public material without your separate, specific, written permission.
4. Who processes data on our behalf
We use third-party providers to run the business. Each processes data under its own privacy policy:
- Netlify — website hosting and the form submission that records your signed agreement.
- HighLevel / LeadConnector — booking calendar, client records, appointment reminders and email communication.
- Our payment processor — card payment, refunds and receipts.
- Our email provider — correspondence with you.
These providers may store or process data outside your country, including in the United States. Where personal data is transferred internationally, we rely on the safeguards those providers have in place, such as standard contractual clauses.
We do not sell your personal information, and we do not share it for cross-context behavioural advertising.
5. Cookies and local storage
The site sets no advertising or analytics cookies.
It does store one item in your browser's local storage, under the key akem.signedAgreement.v1, after you sign the client agreement. It holds your name, email address, the agreement version and the date you signed, and its only purpose is to recognise you as a returning client so you are not asked to sign again for every booking. It is strictly necessary for that convenience, it is never transmitted for advertising, and it never leaves your device except as part of the submission you already made. You can remove it at any time by clicking "Not you, or want to sign again?" on the booking page, or by clearing your browsing data.
Embedded third-party components, principally the booking calendar, may set their own cookies necessary for that widget to function. You can block or delete cookies in your browser settings, though the booking widget may then not work properly.
6. How long we keep it
- Signed agreement records: retained for at least the applicable limitation period, typically up to seven years, because their purpose is to evidence consent if it is ever questioned.
- Booking and payment records: as long as required for tax and accounting, typically up to seven years.
- Intake information and session notes: retained while you are an active client and for a reasonable period after, then deleted or anonymised.
- Marketing contact details: until you unsubscribe or ask us to delete them.
- The local-storage entry on your own device: until you clear it, clear your browsing data, or the agreement version changes. It is not on our systems and we cannot read it remotely.
7. Security
The site is served over HTTPS. Form submissions are transmitted encrypted. Access to client records is restricted to Samuel. Our providers maintain their own security controls. No system is perfectly secure, and no method of transmission or storage can be guaranteed absolutely, but we take the protection of this information seriously.
8. Your rights
Depending on where you live, you may have the right to:
- request a copy of the personal information we hold about you;
- have inaccurate information corrected;
- request deletion, subject to records we must keep for legal or evidential reasons;
- object to or restrict certain processing;
- request your data in a portable format;
- withdraw consent at any time, without affecting processing already carried out;
- opt out of marketing at any time, by clicking unsubscribe or emailing us;
- be free from discrimination for exercising any of these rights.
To exercise any of these, email Sam@akemhealing.com. We will respond within the period required by the law applicable to you, and within 30 days in any case. We may need to verify your identity first. If you are in the UK or EEA, you also have the right to complain to your data protection authority.
9. Children
The site and the services are for adults aged 18 and over. We do not knowingly collect personal information from children. If you believe a child has provided information to us, email us and it will be deleted.
10. Changes to this policy
We may update this policy. The current version and its date are always shown at the top of this page. Material changes affecting how we use existing data will be notified by email where we hold your address.
